Import platform sale results

Updated

When a platform sale ends, import its results. Sold lots become invoices, and the coins go out of stock. The sale page shows how the invoices are made:

  • When you run the auction, the app makes one invoice for each buyer, with the buyer's premium and tax on their own lines.
  • When you consign coins to the platform, the app makes one invoice to the platform for the hammer prices, less its fees.

Forward the results email

The Results box on the sale page can show an email address for the sale.

  1. Click the copy button to copy the address.
  2. When the sale ends, forward the results email from the platform to this address. Send it from the email address that you use to sign in.
  3. Make sure that the report is attached as CSV or Excel.

The app imports the attached report and makes the invoices.

Upload the report

  1. Download the results report from the platform.
  2. Open the sale and click Import results.
  3. When the sale is on more than one platform, choose the platform in Report from.
  4. Drop the file in the box. The file can be CSV, Excel or JSON.
  5. Read the counts: Rows, Sold, Unsold and Needs review. To change how columns match, click Edit columns.
  6. Click the record button. It shows the number of sold lots, such as Record 12 sold. When rows need review, it also shows how many, such as Record 12 sold, review 2.

An invoice details report adds platform fees and payments to lots that you recorded before. Import the lot results first.

Check rows on Results review

Some rows wait for a check before the app records them. A row waits when its lot is unknown, its quantity does not match, it is a duplicate, or the hammer is below the reserve or the coin's cut bid.

  1. Go to Results review.
  2. Click a row to open it. Choose the lot, and check the quantity, hammer, buyer's premium and platform fee.
  3. Click Record result.

To record several rows as they are, select them and click Record as shown. To skip rows, select them and click Dismiss. You cannot record a dismissed row from this page.

You need the Manage listings permission to see Results review.

Settings for results

Go to Outside auction settings:

  • Status after results sets the status of coins that come back to stock: when a lot did not sell, passed below reserve, or sold in part. A coin with no stock left becomes Sold.
  • Record clean rows on import records rows with no problem at once. Turn it off to review every row.

After you change the rules, open the sale menu and click Apply status rules to results.
