Track consigned coins and pay consignors

Updated

A consignment holds the coins that you sell for a consignor, from intake to settlement. The consignor is one of your customers.

Make a consignment

  1. Go to Consignments.
  2. Click New consignment.
  3. In Consignor, search for the customer and select them.
  4. Type a Name (optional), such as "Estate of John Smith, March".
  5. Type the Commission %. Type a Buyer's premium % (optional) if you charge one.
  6. Click Create consignment.

You need the Edit coins permission to make and change consignments.

Change the terms

  1. On the consignment page, click Edit terms.
  2. Change the name, Commission %, Buyer's premium % (optional) or description.
  3. Click Save terms.

A new commission changes the commission and payout totals. After you settle a consignment, you can change only its name and description.

Add the coins

On the consignment page, in Coins:

  • Click Pick from stock to add a coin that is already in CoinManagerPro.
  • Click New coin to add a new coin. Type the Title, Quantity, Value per coin ($), grading service and grade. Click Add coin.

To take a coin out, click the remove button on its row. The coin stays in your stock.

Change the status

The statuses are Intake, Cataloging, Listed, Partly sold, Sold, Settled, Withdrawn and Returned.

To move a consignment to the next step, click the Move to action for that step, such as Move to Cataloging. From Listed you can also move it to Sold. A sale of a coin also moves the consignment to Partly sold or Sold.

Mark withdrawn and Mark returned close the consignment. You cannot change its status after this. To settle, use Settle, below.

Send the statement and settle

The Statement box shows the coins sold, the sales, the commission and the net to the consignor. It comes from the invoices for the consignment's coins.

  • Click Open statement to see the statement with each coin sold. Print it or save it as a PDF.
  • Click Email statement to send it to the consignor. The consignor must have an email address. You need the Manage purchases permission.

When the status is Listed, Partly sold or Sold, you can settle:

  1. Click Settle.
  2. Check the Payout. Type a Check number (optional).
  3. Click Mark settled.

This records the payout and closes the consignment. You need the Manage purchases permission to settle. The payout comes from the sales at the time you settle.

Delete a consignment

Click Delete consignment. The coins stay in your stock. You need the Manage purchases permission.

See what you owe

Consignments shows Owed to consignors and Total sold. Filter by Payment to see the Outstanding or Paid consignments. Click Board to see the consignments by status, or Table to see a list.
