Automate work with workflows
Updated
Only owners and admins can see and change workflows.
Workflows in your plan
Your plan sets how many custom workflows the workspace can have:
- Starter: no custom workflows.
- Professional: up to 5 custom workflows.
- Business: no limit.
- Enterprise: no limit.
Drafts, active workflows and paused workflows count. A deleted workflow does not count. A copy from Duplicate and a draft from the assistant count too. A trial has the limit of the plan that you try.
When the workspace is at the limit, the app does not make the workflow. It shows a link to Plans. Delete a workflow or change your plan.
After a change to a smaller plan, you keep your workflows. You can activate only as many workflows as the new plan allows. Pause a workflow to activate a different one.
Make a workflow
- Go to Workflows.
- Click New workflow.
- Type a Name, such as "Tag new purchases". The description is optional.
- Choose the Trigger:
- Manual: runs when you select Run now.
- Schedule: runs on a schedule.
- Event: runs when an event occurs in the app.
- Webhook: runs when another system calls a URL.
- Click Create workflow.
The workflow opens in the builder as a draft.
Set the trigger
- Select the Trigger step on the canvas.
- Set the trigger:
- For Schedule, choose the schedule.
- For Event, choose one or more events: A coin is added to inventory, A coin is changed, A purchase is recorded or A purchase is changed.
- For Webhook, the Trigger step shows the URL to call.
- Click Save changes.
Add steps
The Steps list has four kinds of step. Select a step to add it, or drag it to the canvas.
- Action runs a task.
- Condition picks a path. The result must be true or false.
- Delay waits.
- Trigger starts the workflow.
Select an action step and choose the Action. Some actions are:
- Find coins, Look up a coin, Update a coin and Delete a coin.
- Value coins, Assess grades, Write descriptions and Read a coin photo. These use AI credits.
- List on a marketplace, Reprice marketplace listings and Buy a shipping label.
- Send an email, Send a text, Post to Slack and Notify the workspace.
- HTTP request and Send a webhook.
Send a text uses 4 credits for each part of each text. When you choose an action that uses credits, the step shows how many.
Turn the workflow on
- Activate turns on a draft workflow. Its trigger then starts runs.
- Pause stops new runs. Resume turns the workflow on again. Events from the pause do not start runs.
- Run now runs an active or paused workflow one time. Steps can change coins, and steps that use AI use credits.
Check the runs
Click Run history to see each run and its status: Pending, Running, Completed, Failed, Cancelled or Timed out. The Workflows list shows the last run, the number of runs and the credits used.
Copy or delete a workflow
- Open the menu of the workflow.
- Click Duplicate to copy it, or Delete to delete it.
You cannot undo a delete.
