A contractor is a seller you buy coins from. The type can be Contractor, Dealer, Coin show, Private seller or Auction company.

Add a contractor

  1. Go to Contractors.
  2. Click New contractor.
  3. Enter the Company or seller name. Only the name is required.
  4. Fill in the other fields that you need, such as Type, Email, Phone, Address and Tax ID.
  5. Enter an Inventory code if you want one. New coins from this contractor get SKUs that start with the code, such as JS-0042.

You can also add a contractor when you record a purchase.

The contractor page

Click a contractor in the list. The page shows the purchases, the total cost and the amount outstanding. Use New purchase to start a purchase with this contractor. Use Show coins to see the coins from this contractor. The List link section lets the contractor send coin lists to you.

You cannot delete a contractor that has purchases.

Profit-share terms

A profit-share purchase splits the money from each sale. The expenses you pick come off first, and the rest is split. The expenses are Cost, Grading fees, Auction and platform fees, Shipping and insurance and Other expenses. You pay an expense that is not checked from your share.

To set default terms:

  1. Edit the contractor.
  2. Under Profit-share terms, fill in Default share.

New profit-share purchases from this contractor start with these terms.

To end a profit share and keep the unsold coins:

  1. Open the purchase.
  2. Click Close deal.
  3. Enter the Value of the unsold coins.

Make a statement

  1. Open the contractor.
  2. In the Profit share section, click New statement.
  3. Enter the Start and End dates.
  4. Check the amounts. Add a Note on the statement if you want one.
  5. Click Make statement.

The statement takes every sale and return not on a statement yet, up to the end date. On the statement page, download it with CSV or PDF.

Mark a statement paid

When you pay the contractor:

  1. Click Mark as paid.
  2. Enter the Paid on date.
  3. Enter the check number or reference.

A paid statement cannot change.

You can delete the newest statement when it is not paid. Click Delete. Its sales and returns go on the next statement.
