Set roles and permissions for members

Updated

A workspace has three roles:

  • The owner can do everything. Nobody can change the owner's role.
  • An admin can do everything. An admin can also invite and remove people and change billing.
  • A member can do only what their permissions allow.

Only owners and admins can change roles and permissions. To invite people, see Invite people to your workspace.

Change a role

  1. Go to Members.
  2. Open the menu of the person.
  3. Click Make admin or Make member.

When you make a person an admin, they get all permissions.

Set the permissions of a member

  1. On Members, open the menu of the member.
  2. Click Permissions.
  3. Choose a Preset, or select and clear single permissions.
  4. Click Save.

A member with no saved permissions has the Staff preset. When the selected permissions do not match a preset, the preset shows Custom.

The presets:

  • Manager: All work with coins, sales, and purchases. No settings.
  • Sales: Sell coins, list them, ship them, send memos, and check coins out. No cost, delete, or void.
  • Staff: Edit coins, sell them, ship them, and check them out. No cost, delete, void, or reports.
  • Intake: Add and edit coins. No cost, selling, listing, or shipping.
  • Shipping: Work picklists, print packing slips, and ship orders. Sees sale prices. No cost.
  • Bookkeeping: See coins, cost, invoices, contractor tax IDs, and reports. Cannot change data.
  • Viewer: See coins and ask for access to them.
  • No access: Cannot see coins.

The permissions are below. The Permissions dialog shows what each one allows.

  • View coins
  • View cost
  • Edit coins
  • Delete coins
  • Sell
  • Override discount limit
  • View invoices
  • Void invoices
  • Record returns
  • Pick and ship
  • Manage listings
  • View contractor details
  • Manage purchases
  • Manage memos
  • Check out coins
  • Approve access
  • Count stock
  • Approve stock counts
  • View reports
  • Manage settings

When you turn on a permission, the app also turns on the permissions that it needs, such as View coins.

Set a discount limit

Discount limit (%) is the most that the member can sell a coin below its asking price. Type a whole number from 0 to 100, or leave it empty for no limit. A member with the Override discount limit permission can sell below the limit.

Remove a person

  1. Open the menu of the person.
  2. Click Remove.
  3. Click Remove again to confirm.

The person loses access to the workspace at once, and their seat becomes free.
